Managed Services coverage methodology

Flomenco Managed Services is ongoing coverage for production Flo workflows. The team documents what you run, assesses readiness, applies initial resiliency fixes, monitors execution against contract commitments, and improves success rates over the engagement with root-cause analysis and weekly reviews.

Managed Services is not a support ticket queue and not a substitute for Professional Services project work. It complements product support per your agreement and keeps day-2 ops healthy after cutover (or beside a mature stack that is already live).

What you get

  • Documented workflows: triggers, dependencies, owners, and known failure modes
  • A readiness assessment before steady-state coverage begins
  • Initial fixes and resiliency extensions where gaps would create avoidable failures
  • Monitoring of workflow execution status against your contracted commitments
  • Error response with detailed root cause analyses
  • Recommended fixes and improvements that raise workflow success rate over the engagement
  • Weekly status reports and review meetings tied to improvement goals

Coverage phases

Onboarding is front-loaded. Operate and Improve run for the life of the agreement. Timing bands are indicative and finalized at kickoff.

Phase Focus When What you leave with
Document Capture as-run workflows, owners, SLAs, and exception paths Kickoff (typically week 1) Workflow inventory, runbooks, stakeholder map
Assess & Stabilize Readiness review; initial fixes and resiliency extensions Early engagement (typically weeks 1-3) Gap list, prioritized fixes, stabilized baseline
Monitor & Respond Watch execution status; triage failures with root cause analysis Ongoing per contract Incident notes, RCAs, restored runs
Improve & Review Ship recommended fixes; track success rate; weekly reports and reviews Ongoing per contract Improvement backlog, trend reports, aligned goals

Contract commitments (coverage windows, response expectations, and in-scope workflows) are agreed at kickoff and used as the monitoring baseline.

Sample cadence

  1. Kickoff: Confirm in-scope workflows, success metrics, escalation contacts, and reporting rhythm.
  2. Document: Write down how each workflow actually runs today, including upstream systems, credentials, and who owns exceptions.
  3. Assess & Stabilize: Score readiness. Implement initial resiliency extensions and high-impact fixes before steady-state monitoring is the primary mode.
  4. Operate: Monitor execution status against commitments. When something fails, respond with a detailed root cause analysis, not only a restart.
  5. Improve: Implement recommended fixes and improvements. Track workflow success rate across the engagement so gains are visible, not anecdotal.
  6. Weekly review: Status report plus a review meeting to confirm improvement goals are on track and to reprioritize the backlog.

Teams that still need net-new design, multi-system build, or first production cutover should start with Professional Services. Many engagements hand off into Managed Services after the first production workflow is live.

What Managed Services covers (and does not)

In coverage (typical) Usually separate

Root cause analysis and recommended production fixes Product feature requests outside the services agreement
Resiliency extensions scoped in the engagement Unlimited custom development without a change order
Weekly status and improvement reviews 24/7 product support unless your contract says otherwise

Model Ongoing coverage Project-based
Goal Monitor, handle exceptions, improve success rate Design, integrate, cut over
When After production, or in parallel for mature stacks Kickoff through first production (and scoped expansions)
